How to manage a group using GRO

Adding a person to your lab group will grant them the following permissions:
  • Access to login to your lab computers
  • Access to your lab data on your lab's network storage
  • The ability to make purchase requests in the purchasing system

To access GRO, go to gro.byu.edu.  Then click on the tab (or link on the page) that says Groups I Administer.  The next page that loads should display all of the groups that you have administrative access to.  

To make GRO easy to access in the future:
  • Go to my.byu.edu and login.
  • On the right side of the page, find the Technology section.  
  • If you don't have Group Management System (GRO) as an item there, click on the Add Links button at the bottom right corner.  
  • Search for "Group Management System (GRO)" and click on Add to Favorites.  Once you have done that it will appear on your My BYU page under the Technology section.

To add a user to a group:
  • Click on the name of the group (your lab group is typically named chem-<initials>lab) and then on the Edit Members button to load the group's page.
  • The next screen shows the current members of the group and allows you to search for people you want to add either by name, BYU ID number, or netid.
    • If the person is found they will show up on the screen beneath the Search for Person blank in a box displaying their name and employment information.  
    • If you slide the Add Multiple Members switch you can add multiple people at a time using their netids or BYU ID numbers separated by commas.
    • If you want, you can set the an expiration of their group membership in the Expiration Date field rather than their membership being active forever.  
      • Click the Set Year Expiration button to set a automatic 1 year expiration date or use the date picker to select a custom date (please no longer than 1 year at a time).
  • Click the Add Person To Group (or Add All if adding multiple at once) to add them to the group.

To remove a user from a group:
  • Click on the name of the group and then on the Edit Members button to load the group's page.
  • Check the box next to anyone you want to remove from the group and click on the red Revoke Selected Memberships button to remove them.

For reporting problems logging in to a website/service or denial of access to a service you should have access to already.
